WORKBIE AI TEAM · ADD-ON

Meet the extra team your business has been waiting for.

AI agents for sales, marketing, communications, operations, documents and finance, working alongside your people inside Workbie.

Most AI tools wait for somebody to open a chat box and ask a question. Workbie AI Team goes further: a ready-made team of controlled agents that understand your exact business information, prepare work, spot what needs attention and propose the next action — all within the permissions you set.

Your people stay in control. Workbie helps move the work forward.

Your Workbie. Your permissions. Your approvals. Your AI Team.

MORE SOFTWARE ISN’T THE ANSWER

Your people don’t need another AI tab open all day.

Another standalone AI subscription means another place to copy information into, another conversation disconnected from the real workflow, and another result somebody still has to turn into action. Workbie AI Team changes the model — it works inside the processes, records and permissions you already use.

Standalone AI

Ask a question. Get an answer.

Useful, but the person often still has to provide the context and carry out the next step.

Basic automation

If this happens, do that.

Useful for predictable rules, but less suited to work that needs context and judgement.

Workbie AI Team

Understand. Prepare. Propose. Act with control.

Agents work with permitted business context, propose the next action and use controlled Workbie actions when approval and permissions allow.

READY FROM DAY ONE

Start with an AI team built around real business jobs.

You shouldn’t need to become an AI expert to get value from AI. Start with six practical agent templates, configure them for your business, set their permissions, test them and put them to work.

AI WITH A JOB TO DO

From understanding the work to helping get it done.

  1. 1

    Understand

The agent receives a permitted task, question, event or schedule and works with the business context it has been allowed to access.

  2. 2

    Prepare

It researches the permitted Workbie information, follows its instructions and prepares the result or proposed next step.

  3. 3

    Propose

Where something needs changing, the agent proposes a Workbie action rather than taking uncontrolled action.

  4. 4

    Approve

The right person reviews material actions wherever approval is required.

  5. 5

    Workbie acts

Once approved and authorised, Workbie carries out the action and records what happened.

AI doesn’t replace your controls. It works inside them.
SECURITY FIRST · OUR BIGGEST DIFFERENCE

Our AI never talks to the internet — so your business data never leaves your business.

The biggest mistake most businesses make with AI is copying company information into public AI tools on the open web. Once that data is out there, you no longer control where it goes — and it can’t be taken back.

Workbie AI Team is built the opposite way. Our agents work only with your business data, inside your Workbie environment, with no internet access. They can’t browse the web, send your information to public AI agents or reach anything outside what you have permitted.

Your staff can’t post company data to the web through Workbie either — the route simply doesn’t exist. That makes Workbie AI Team compliant even for financial records and sensitive personal data, where other AI tools fall short.

Game changer: the intelligence of AI, without your information ever leaving your walls.

  • Agents are trained on your business data only
  • No internet access — no browsing, no public AI
  • Company data can’t be posted to the web by staff or agents
  • Compliant for financial and sensitive personal data

AI that works with your business, not beside it.

Connected to the work

Agents use the Workbie tools, records and knowledge they have specifically been allowed to access.

Built around permissions

Each agent has its own controlled identity and role — not the access of whoever created it.

Approval where it matters

A person sees exactly what is proposed before Workbie carries out important changes.

Test before you trust

Test Mode shows what an agent would do without actually doing it.

Clear activity

See agent actions, proposals, approvals and usage — without reading everybody’s private AI conversations.

Keep spend controlled

Set budgets and limits so scheduled work can’t use AI without boundaries.

THE BIG SHIFT

From software people operate to software that helps carry the workload.

For years, business software has worked the same way: your people open the system, find the information, decide what to do and carry out every step themselves.

Workbie AI Team introduces a different operating model. Your people still make the important decisions — supported by digital team members that organise information, prepare work and move approved actions forward.

The opportunity is to reduce the repetitive coordination, searching, drafting and follow-up your whole business carries every day.

  • From searchingto being briefed
  • From rememberingto being prompted
  • From repetitive draftingto reviewing prepared work
  • From disconnected AIto AI inside the workflow

Your best people spend more time on the work that needs people.

DESIGNED FOR TRUST

Give AI responsibility without giving it the keys to everything.

Business AI is valuable when it’s useful enough to do real work, without removing sensible human and system controls. Workbie AI Team is designed around that balance.

The objective isn’t autonomous AI everywhere. It’s the right level of AI in the right process, with the right control.
BUILT THE WORKBIE WAY

Your AI Team works inside your Workbie environment.

Workbie is deployed as a dedicated environment for each customer, rather than one shared application database. Your AI Team configuration, permissions, business context and activity stay with your own Workbie.

We run Workbie Central to manage entitlement, AI usage and credits, and service health — without needing a copy of the detailed business content your agents work with.

Business context stays where the work happens. Central manages the service around it.

Start by asking Workbie. Then let your AI Team help run the process.

  1. ASK

    Workbie AI

Ask questions about the Workbie information you’re allowed to see.

  2. ACT

    AI Actions

Ask Workbie to prepare a real action, review the proposal, then approve it.

  3. DELEGATE

    AI Team

Give defined jobs to controlled agents with their own permissions and budgets.

  4. AUTOMATE

    Triggers & schedules

Let approved agents respond to selected events or scheduled work, using the same controls.

You don’t have to jump from chatbot to autonomy. Workbie lets you introduce AI in controlled steps.

IMAGINE MONDAY MORNING

The work has already started before the meeting does.

Illustrative example

John · Sales Agent

Has prepared the context for opportunities that need attention and drafted suggested follow-ups.

Karen · Marketing Agent

Has prepared drafts from the approved campaign brief and business knowledge.

Sarah · Inbox & Communications Agent

Has reviewed permitted new messages, prepared summaries and proposed where follow-up is required.

David · Operations Agent

Has highlighted overdue or blocked permitted work and prepared a management summary.

Emma · Documents Agent

Has helped organise selected incoming documents and surfaced information that needs action.

Michael · Finance Agent

Has summarised permitted finance items that require authorised follow-up.

Your team arrives to prepared work, not another blank screen.

OPTIONAL WORKBIE ADD-ON

One AI Team. Built around your business.

Start with the Business Pack of practical agent templates, then configure the team around your processes, permissions and priorities.

AI usage is subject to your Workbie package, configured allowance or credits and applicable service terms.

Questions about Workbie AI Team

Is this just another chatbot?

No. Workbie AI remains available for questions. AI Team adds controlled agents with defined jobs, permissions, limits and access to selected Workbie tools and actions.

Can our data end up with public AI tools?

No. Workbie AI Team agents have no internet access and work only with your business data inside your Workbie. There is no route for company information to reach public AI agents — even by mistake.

Will AI have access to everything in our Workbie?

No. Agents are given their own controlled roles and access. Your existing Workbie permission and visibility rules still apply.

Can an agent make changes without us knowing?

Actions are controlled according to risk and configuration. Material actions can require review and approval first, and agents can be tested without running their proposed actions.

Can we control AI spend?

Yes. Per-agent limits and Workbie AI credit controls keep usage governed rather than open-ended.

Do we have to use all six agents?

No. The Business Pack is a starting point. Switch on the agents that make sense for your business.

Can we create other agents?

Yes — AI Team is designed to support additional specialist templates and agents configured for your business as requirements develop.

Does AI replace our staff?

That isn’t the Workbie proposition. AI Team takes on more of the searching, preparation, coordination and repetitive admin around your people, while people keep responsibility for work that needs judgement and approval.

Where does the AI Team run?

Inside your dedicated Workbie environment. Workbie Central, which we operate, handles entitlement, usage and credits, and service monitoring.

Can agents run automatically?

Where configured, approved agents can respond to selected events and schedules — still using the same permissions, limits and controlled actions.

WORK. BUT EASIER.

If you could add six capable digital team members to your business, where would you put them to work first?

Let’s look at the admin, follow-ups, communications and repetitive coordination taking time away from your team — and design a Workbie AI Team around how your business actually works.

Fix the process. Automate the admin. Use AI where it counts.

Photographs are illustrative and do not show Workbie customers. Agent capabilities depend on configuration, permissions and your Workbie package.
